GoHighLevel review management owns what happens when reviews arrive, while GoHighLevel review monitoring owns listening for new feedback. GoHighLevel review automation should remain the broader cross-platform automation page.
That separation keeps request mechanics distinct from monitoring and response operations.
Customer Milestone
Trigger the request only after a customer has something real to review
HighLevel's Review Request workflow action can be placed after events such as a completed appointment, purchase or other customer milestone. The trigger should represent a completed or meaningful experience rather than a lead who has not yet received the service.
GoHighLevel contact management should preserve customer stage, appointment or purchase context and communication eligibility so the workflow can explain why this contact entered.
For businesses with service recovery cases, we may add a condition that prevents an automated request while an unresolved customer issue is still open.
Review Request Action
Use the dedicated workflow action instead of rebuilding the request from generic SMS or email steps
HighLevel's Review Request action can send the request through configured channels such as SMS or email, with the message content controlled through Reputation Settings. This keeps request formatting, review-link handling and request tracking aligned with the Reputation module.
Current HighLevel guidance also supports manual requests through Quick Actions, the contact record and Reputation → Requests. Automation is preferable when the business has a consistent post-service trigger and wants requests to occur without staff remembering each time.
GoHighLevel workflow automation owns the trigger and any additional business logic surrounding the Review Request action.
Request Templates
Write one live request and distinct retry messages instead of repeating the same copy
Current Reputation Settings support SMS and Email request templates, including Live and Retry templates. The request can use merge fields and the configured Review Link so the customer receives a recognizable, branded invitation.
The initial request should acknowledge the customer experience, make the ask clear and provide one obvious review action. Retry templates should be shorter and context-aware rather than copying the same message several times.
If SMS is used, the business must still respect applicable messaging consent and opt-out requirements. GoHighLevel SMS marketing covers the broader SMS compliance layer.
Timing & Retry Cadence
Control initial delay, repeat interval and maximum retries
HighLevel currently allows the first review request to send after a configured delay and supports repeat intervals with a maximum retry count. The system can continue the request sequence until the customer clicks the review link, subject to the configured cadence.
The right delay depends on the experience. A completed local service may justify a request soon after completion, while another business may wait until delivery, onboarding or another milestone is genuinely finished.
Retries should have a clear maximum. The goal is to recover a missed invitation—not to create ongoing pressure from the business.
Review Link Strategy
Use the correct public review destination for the program
HighLevel Review Link settings can point customers to the configured review destination and can also support review balancing where the business intentionally distributes review requests across connected destinations.
For a Google-specific program, GoHighLevel Google review automation should own the GBP connection and Google destination. This generic request page remains focused on the automation mechanics regardless of the permitted review destination.
Every review link should be tested on a real phone before automation is published, especially for multi-location accounts where the wrong destination can send a customer to another branch.
Click-Based Exit
Use Review Request Clicked as a goal when the link click means the request stage is complete
HighLevel Goal Events currently include Review Request Clicked, which can move a contact forward when the review link is clicked. The goal can match clicks across channels and can optionally be narrowed to specific review-link logic.
This is useful for stopping retries as soon as the customer has acted. After the click, the workflow can end, send a short thank-you or move the contact to a different lifecycle step without continuing the request sequence.
A click does not guarantee a public review was submitted, so reporting should distinguish link engagement from reviews actually received.
Multi-Channel Requests
Choose the channels the customer can legitimately receive rather than sending every channel at once
HighLevel supports multi-channel review request patterns across SMS, Email and WhatsApp when those channels are configured. More channels are not automatically better; the program should use channels that fit customer permission and the business relationship.
We may start with one primary channel and use a second channel only as a retry or fallback. This avoids a customer receiving simultaneous SMS, email and WhatsApp review requests immediately after one interaction.
Channel-specific templates should preserve the same review destination and request intent while matching the format and compliance requirements of that channel.
Request Tracking
Use Reputation request status and dashboard trends to understand automation performance
Reputation → Requests tracks review-request activity, and the current Reputation Overview reports Invite Trends, Latest Review Requests and reviews received. Those views help separate “the workflow sent the request” from “the customer engaged and a review appeared.”
GoHighLevel CRM reporting can add customer lifecycle context if the business wants to compare review requests by service, customer segment or account owner.

Automation QA
Test the live template, retry template, review link and exit logic as one sequence
A complete test should enter a known contact through the real workflow trigger, confirm the request arrives from the intended sender, open the review link and verify the workflow responds correctly to the click goal.
Then test the no-click path through at least one retry and confirm the maximum retry count prevents indefinite messaging. Test the correct review destination on mobile and verify request tracking appears in Reputation.
Once a review arrives, GoHighLevel review response and review monitoring should take over rather than leaving the contact inside request automation.
Eligibility & Suppression Logic
Prevent duplicate or inappropriate review requests before they enter the retry sequence
A production review-request workflow should decide not only who qualifies, but who should be excluded. We can use customer stage, appointment or purchase status, prior request history, existing review activity, open service issues and communication preferences to prevent repeated or mistimed invitations. This matters when several workflows can reach the same customer after different business events.
For example, a customer may complete an appointment and then complete a purchase shortly afterward. If both events independently trigger review automation, the person could receive two request sequences for one experience. We use tags, fields, workflow history or a clear lifecycle owner to ensure only one request path is active.
We also document what should happen after the request workflow finishes without a click. Some businesses end the process completely; others may wait for a much later customer milestone before the person becomes eligible again. The system should have an explicit re-entry rule instead of relying on accidental workflow enrollment.
We also review recent request history before re-enrollment so the same customer is not asked repeatedly across overlapping workflows, locations or service events.
